The 'Add as candidate' button on an accepted lead skips most of the manual data entry: name, email, phone, nationality, and documents are auto-filled from the candidate's personal profile. Here is how to use it confidently.

When to click 'Add as candidate'

Use it the moment you and the candidate have confirmed you will proceed together. Do not click it before the candidate has agreed to be represented by your agency - the agreement is legally binding once signed.

What gets auto-filled

Candidate's full name
Email address
Phone number
Nationality (if they declared it)
Their own message or note (carried into the agency notes field)
All documents they uploaded on their personal Zero Deposit profile - we map them automatically:

* 'International passport scan' becomes 'Passport scan'

* 'Passport photograph' becomes 'Passport photo'

* 'Curriculum Vitae (CV)' becomes 'CV'

* 'Proof of financials' becomes 'Proof of financials'

Why we auto-attach the documents

It saves the candidate from re-uploading files they already gave Workium, and saves you from chasing them for the same things twice. The original files keep their upload date and any earlier approval status; the agency-side record reuses the same encrypted Wasabi URLs.

What you still have to do

1Pick the role - the modal auto-selects the role the candidate is interested in, but double-check it matches your conversation.
2Scroll the Zero Deposit Agency Agreement to the bottom. The 'I have read and accept' checkbox unlocks only after you scroll.
3Tick the 'I confirm the candidate has consented to be represented by this agency' box.
4Type the signatory name to sign and click 'Submit application'.

When you might still need to upload documents manually

The candidate is brand new and has not yet uploaded anything on their personal profile.
The candidate's existing documents have been rejected by Workium and need replacement.
They uploaded only some of the four required documents.

In those cases, the modal shows the upload UI as normal and asks you to attach the missing files.

After submission

The application appears in the Zero Deposit tab of your agency dashboard.
The candidate's MyWorkiumMove dashboard unlocks a tracking timeline.
The candidate receives an email confirming your agency has submitted their case.
Workium admins are notified for verification and the candidate's case enters the verification queue.
You can add notes, email the candidate, or reject the candidate later from the candidate detail page.
