Payments, Invoices and Receipts

Every transaction across your three Workium Business workspaces lands in the Payments tab. View paid receipts, resume pending payments, and download branded PDFs for your finance team.

Payments, Invoices and Receipts on Workium Business

The Payments tab is the central billing hub for everything you spend with Workium across all three workspaces. It sits in the always-on sidebar (alongside Messages and All services) so you can reach it from any workspace.

What the Tab Shows

The Payments tab splits transactions into two sections:

1Pending payments — items you have submitted but not yet paid for. Examples: a Company Formation order saved with status='submitted' but payment_status='pending', or an Alumni placement-fee invoice awaiting payment.
2Paid history — every successful transaction with date, amount, service tag (mobility / formation / alumni), payment method (Stripe / Paystack / bank-transfer) and a 'Download receipt' button.

Resuming a Pending Payment

Click the 'Pay now' button on any pending row. Workium routes you to the appropriate checkout (Stripe for cards, Paystack for African customers in NGN/GHS). Once payment succeeds:

The row flips from Pending to Paid
A branded PDF receipt is emailed to your contact_email
The receipt is also stored in Wasabi S3 and made downloadable from the Paid history

Downloading Receipts

1Click the 'Download' button on any paid row
2The browser opens a signed URL pointing to the receipt PDF
3Receipts include: Workium logo, transaction ID, business name, line items, VAT (where applicable), payment method, total in transaction currency, and equivalent EUR

Invoice Generation

For enterprise customers Workium issues VAT-compliant invoices on request. Email accounts@workium.co.uk with your VAT number, billing address and the relevant order IDs and we will issue an invoice within 24 hours.

Stripe vs Paystack

Stripe — primary processor for EUR / GBP / USD / and 100+ other currencies. Cards, Apple Pay, Google Pay, SEPA, ACH.
Paystack — used for African customers paying in NGN / GHS / KES / ZAR. Cards plus local bank-transfer.

Both processors are PCI-DSS Level 1 certified. Workium never stores your card details — only a tokenised reference.

Failed Payments

If a charge fails, you see a red banner inside the Payments tab. Common reasons: insufficient funds, 3-D-Secure timeout, blocked card. Click 'Retry payment' to attempt again. The failed attempt is logged but does NOT count against your record.

Refunds

Most refunds are processed within 5-10 working days. Refund-eligible scenarios:

Company Formation order cancelled BEFORE we begin filing (full refund)
Duplicate payment (full refund)
Service unable to be delivered (e.g. country closed for new applications) — full refund

Non-refundable scenarios:

Filings already submitted to a government authority (those fees are paid through and non-refundable)
Placement fees once an offer has been accepted by the alumnus

To request a refund email accounts@workium.co.uk with your Order ID, transaction date and reason.

Monthly Statements

Workium emails a monthly statement (1st of every month) summarising all transactions for the previous month. The statement is sent to your billing_email contact. Update your billing email under Account → Settings (coming Q2 2026 — for now email accounts@workium.co.uk).

Multi-Currency

If you transact in multiple currencies (e.g. paying NGN for a UK formation), the Payments tab shows both the original transaction currency and the EUR-equivalent at time of payment. This makes life easier for finance teams reconciling in EUR.

VAT Compliance

Workium charges VAT in jurisdictions where required (UK 20%, IE 23%, etc.). EU B2B customers with a valid VAT number qualify for reverse charge — the VAT line item shows £0 / €0 with a 'Reverse charge' note. Provide your VAT number during signup or by emailing accounts@workium.co.uk.
