Renewal Scheduler and Salary-Threshold Checker

3 min read

Two power tools inside Global Mobility — Renewal Scheduler tracks visas approaching expiry with country-specific lead-times, and the Salary Checker confirms whether a salary clears a specific route's threshold.

Renewal Scheduler and Salary-Threshold Checker

These two tools are smaller utilities inside the Global Mobility workspace, but they are the ones mobility leads use most often.

Renewal Scheduler — How It Works

When a visa is approaching expiry, you need to start the renewal process at the right time. Too early and you waste filing fees. Too late and you risk a gap in lawful status.

Workium tracks the renewal lead-time per destination country (60 days for ES/PT/PL/HU/RO/BG/SK/LU and 90 days for UK/DE/IE/NL/CZ/AT/NO/FI). The Renewal Scheduler tab pulls every active case where a visa_expiry_date is set and surfaces them ranked by days-until-expiry.

1Navigate to Mobility → Renewals
2Pick a window: Next 60 / 120 / 180 / 365 days
3The table shows every relevant case with employee name, country, visa type, expiry date and days remaining
4Cases where days-until-expiry ≤ lead-time are flagged 'due to start' in red
5Click 'Start renewal' to create a renewal case linked to the parent

What 'Start Renewal' Does

Creates a new business_case copying the parent's employee/country/visa fields
Sets status='submitted' and kind='renewal'
Sets renewal_of=parent.case_id
Stamps the parent with renewal_case_id so it is not double-renewed

This is idempotent: clicking 'Start renewal' on a case where one is already in flight returns already_existed=true. The button on the row also flips to a green 'Renewal started' badge.

Salary-Threshold Checker — How It Works

The Salary Checker tab is a quick lookup utility. Pick a country, pick a visa route, enter a salary, click 'Check threshold'. It returns:

meets_threshold (true/false)
The threshold amount, frequency and annualised figure
The difference in your currency
A verdict pill: eligible / below_threshold / needs_currency_conversion
The official notes attached to that route

When to use this vs the Eligibility Wizard:

Salary Checker — single-route, single-currency, focused. Use during salary negotiations.
Eligibility Wizard — multi-route, multi-country, comprehensive. Use during shortlisting.

Handling Currency Mismatches

If you provide a salary in a different currency from the route's threshold currency, the Salary Checker returns a special verdict 'needs_currency_conversion' and tells you the threshold's native currency. Convert your candidate's salary to that currency and re-run.

Update Cadence

Workium updates threshold figures annually as governments publish new minimums (typically April for UK, January for most EU). The mobility_country_config.py file is the source of truth — feel free to ask sales@workium.co.uk for a heads-up if you operate at the threshold edge.

Why Lead-Time Matters

UK visa expiry without an in-time application means the employee falls out of legal status — and may not be able to continue working. The 90-day UK lead-time gives caseworkers, employers and authorities enough time to handle paperwork. Other countries are similar but with shorter windows.

The Renewal Scheduler is your safety net so no employee falls through the cracks.
