About This Role

We are seeking a reliable and detail-oriented Virtual Assistant – Client Support to support our UK operations. This role is ideal for a proactive professional who enjoys working with clients, managing administrative tasks, and providing high-quality support in a fast-paced, digital environment. The successful candidate will serve as a key point of contact for clients, ensuring timely responses, accurate information sharing, and smooth coordination across internal systems and teams. Working hours are flexible, approximately 15–25 hours per week.

Responsibilities

  • Serve as the first point of contact for client enquiries via email, chat, and internal ticketing systems
  • Respond to client questions professionally, clearly, and within agreed response times
  • Provide accurate information about services, processes, and next steps
  • Follow up with clients to ensure issues are resolved and expectations are met
  • Maintain and update client records in CRM and internal platforms
  • Assist with onboarding new clients and guiding them through platform features
  • Track client progress and flag delays, missing documents, or action items
  • Prepare basic reports, summaries, and updates for internal teams
  • Assist with booking consultations, calls, and follow-ups
  • Coordinate calendars and send reminders to clients and internal stakeholders
  • Ensure all appointments and milestones are accurately logged
  • Support clients with document checklist guidance (no legal advice)
  • Ensure uploaded documents are complete, properly named, and correctly logged
  • Escalate complex or sensitive issues to senior team members when required

Requirements

  • Must be based in the United Kingdom with the legal right to work
  • Proven experience in a Virtual Assistant, Client Support, Customer Service, or Administrative role
  • Strong written and verbal English communication skills
  • Excellent organisational and time-management abilities
  • High attention to detail and ability to manage multiple tasks simultaneously
  • Comfortable working independently in a remote environment
  • Confident using digital tools such as email and calendar systems, CRM or client management platforms, and Google Workspace / Microsoft Office
  • Experience supporting UK-based clients or businesses (nice to have)
  • Familiarity with customer support workflows or ticketing systems (nice to have)
  • Previous experience in professional services, tech, mobility, or consultancy environments (nice to have)
  • Basic reporting or data-tracking experience (nice to have)
