About This Role

As an Operations Assistant at Workium, you will own the day-to-day running of our CRM — the backbone of how we manage clients, candidates, agencies and cases. Your focus is the backend operations of the CRM: keeping records accurate and up to date, moving cases through their correct stages, maintaining clean workflows, and making sure every client and partner interaction is properly logged and actioned. This is a fully remote, full-time role for a highly organised, detail-obsessed person who enjoys keeping systems clean, reliable and running smoothly so the wider team can focus on helping people relocate to Europe.

Responsibilities

  • Carry out the day-to-day backend operations of Workium's CRM, keeping it accurate, organised and up to date
  • Create, update and maintain client, candidate, agency and case records within the CRM
  • Move cases and applications through their correct pipeline stages and keep statuses current
  • Set up, maintain and tidy CRM workflows, pipelines, tags, custom fields and automations
  • Log and track client and partner interactions, follow-ups, tasks and reminders in the CRM
  • Run regular data-quality checks — deduplicating records, correcting errors and filling gaps
  • Pull reports, segments and lists from the CRM to support operations, client services and management
  • Coordinate with client services and operations teams so CRM data always reflects real case progress
  • Monitor shared inboxes and route enquiries to the correct owner within the CRM
  • Document CRM processes and suggest improvements that keep backend operations efficient

Requirements

  • Hands-on experience working with a CRM system (e.g. HubSpot, Zoho, Salesforce, Pipedrive or similar)
  • 1+ years in an administrative, operations, CRM or virtual assistant role
  • Exceptional attention to detail and strong data-entry accuracy
  • Strong organisation skills with the ability to manage many records and tasks at once
  • Excellent written and verbal communication skills in English
  • Comfortable with spreadsheets, email, calendars and collaboration tools
  • Self-motivated and reliable, able to work independently in a fully remote setup
  • Must have a reliable computer and stable internet connection
  • Availability to work flexible hours to support teams and clients across different time zones
  • Interest in immigration and international mobility is a plus
